Vanderbilt Temporary Service is the only source you need for temporary employees. We are dedicated to providing you with the best temporary employees possible. In addition to our own skilled recruiters, we have carefully selected secondary vendors which we can utilize to help identify additional candidates to supply your department with a broader range of skills.
All VTS applicants are thoroughly screened. This process includes a face to face interview, reference checks, skills testing for clerical candidates and a background check.

How to Order a Temporary Employee
Contact VTS as soon as you know that you will need a temporary employee. While we do maintain a pool of available employees we want to make sure that we send you the most qualified temporary employee for your assignment. If necessary VTS will recruit someone with the specialized skills necessary for success in your department.
Fill out a (Assignment Request) VTS Order Form and fax to 3-9788
You will receive a confirmation email followed by a phone call from the recruiter assigned to your order. It is important to communicate with VTS staff exactly what you need the temporary employee to accomplish and what skills will be necessary to perform successfully in your department.
Quality
In order to monitor and maintain high levels of customer service VTS regularly requests feedback from our customers. Employees are rated on 9 work related criteria including communication, quality of work and quantity of work. VTS staff are rated on response to the order, matching temporary employees with required skills for the job and meeting the customers overall needs.
Take a moment to complete the performance evaluation you will receive from VTS. We use this information to evaluate the effectiveness of our screening and matching process. Many VTS employees work on multiple assignments. Performance evaluations provide vital information that assists us in providing the highest quality temporary service to the Vanderbilt Community.

VTS Payroll Process
Because everyone deserves to be paid on time it is important to review temporary employee’s timesheets for completeness. Please ensure that hours worked and center numbers are correct.
Supervisors are responsible for submitting temporary employee timesheet to Medical payroll (located in Medical Center North on the second floor) or the University payroll office (located in the Baker Building 9th floor) or HR Express (located at 2525 West End Ave, 2nd Floor) on Monday before 10:00 a.m. following the end of each two-week pay period.
For security reasons payroll cannot accept timesheets from the temporary employee unless it is in a sealed envelope with the supervisor’s signature across the seal.
Payroll can only accept original (brown back/University) time sheets for VTS employees.

Your responsibilities regarding
Safety Training and Compliance
All VTS employees are compliant with the following:
- Universal Safety Training
- Confidentiality Agreement
- HIPAA Training
- Standards of Conduct Review
- Conflict of Interest Acknowledgement
- All required new hire paperwork including background check and I-9 documentation
- Health Screening
Due to the variety of positions filled by VTS employees, they must be trained in the following areas after they are placed on assignment. If your regular employees are required to complete additional training, then your VTS employee should also complete the training.
Blood Borne Pathogen Training
VTS Staff who have direct patient contact or come in direct contact with blood or body fluids are subject to Universal Precaution policies. Employees with access to the internet may complete Blood borne Pathogen training online at www.vandysafe.com.
Lab Procedures Training
VTS Staff who work in a laboratory must complete Lab Procedures training. If they have access to the internet they may complete Laboratory Procedures training online at www.vandysafe.com.
Protective Clothing & Equipment
Several jobs require that protective clothing or equipment must be worn while performing certain duties. VTS employees must comply with departmental guidelines for protective gear (e.g. hardhats, goggles, gloves, scrubs).
Respirator Fit Testing
VTS Staff who work in areas in which respirators must be worn are required to be fit-tested prior to entering those areas. Thirty minute sessions are scheduled on the third or fourth Monday of each month in the Learning Center from 7:00 AM – 3:30 PM. In the rare event that there is a problem we will coach/counsel the employee and if necessary we will end the assignment and search for an employee that better meets your needs.
How to Create a VUnetID and e-password for a VTS Employee
The VUnetID and e-password are required to access computer systems and online services at Vanderbilt.
The e-password pairs with the VUnetID. If you do not already have a VUnetID, it will be created along with your e-password. The process for obtaining your e-password is exactly the same whether or not you already have a VUnetID.
