New Hire Resources for Supervisors
As the supervisor of a new employee, you have an excellent opportunity to make their adjustment to working at Vanderbilt as easy and seamless as possible. It is also a chance to get their Orientation and Evaluation Period off to a good start. The following suggestions and information can help you use New Staff Orientation to welcome your new staff members.

Register a new staff member for orientation
Note: New faculty orientation information is available through the School of Medicine Faculty Orientation and Training Office and the Center for Teaching.
Hearts and Minds Medical Center Orientation
All new Medical Center employees attend a second day of orientation called Hearts and Minds, coordinated by the Learning Center. Registration for this session is combined with the registration for You Make a Difference New Staff Orientation.

- Walk new hires to orientation
Greet them at the work area on Monday morning before orientation and walk them to the orientation location, since Vanderbilt’s campus will be unfamiliar and possibly confusing for many new hires. If you are not able to walk the new hire to orientation, scheduling someone else to take them or giving them detailed instructions on how to get there is a good alternative.
- Do not schedule the new hire to attend any other meetings until after 2:00 pm because orientation is a full program.
- Meet them at the end of the morning orientation and take them to lunch. The morning program is finished by about 11:30, and the afternoon benefits orientation begins at 12:30 pm.
- Provide instructions on what to do after the benefits orientation, which ends at about 2:00 pm.
- Ask if there are any questions you can clear up for them.
- Give instructions for when and where to go, as well as where to park, if the new hire will be completing additional orientation during their first week.
- Take a quick moment to train them on timekeeping for the week.
- Tour your work unit with the new hire after orientation, introducing them around to their new coworkers, and then review their first week’s schedule and any meaningful work assignments.
- Explain when they will get their first paycheck and how it will be distributed to them. Paychecks are one of the key concerns for new employees.
- Explain whether they are classified as full-time or part-time.
- Assist them during the first couple of days in getting their ID card and parking permit, which will be helpful to someone new to Vanderbilt. Information about the ID cards and parking are on the Supervisors’ Checklist.
- Set aside time to cover any other applicable policies since orientation only briefly introduces several of the HR policies.
- Provide Meet the New Hire luncheons
Periodically schedule luncheons for new hires to meet leaders and other staff members in the department. The time can be used to introduce everyone, give background information, explain unit information and provide new hires a time to ask questions.
