Frequently Asked Questions (Hiring Official)

In an attempt to provide better assistance to prospective employees, VTS has developed a list of FAQs for hiring officials. Should you require additional information, please give us a call at (615) 343-4788.

Q. Can I request to interview VTS employees for my temporary positions?

A. Because VTS has already thoroughly screened and interviewed its employees, we highly discourage the practice of re-interviewing employees for temporary assignments.

Q. How long do I have to wait before I can hire a VTS Temporary employee into a permanent position?

A. You are free to hire a VTS employee who has gone through the standard hiring and selection process, and after three pay periods (six weeks) from the start of their assignment.

Q. How long can I keep a temporary employee on an assignment?

A. According to University policy, no temporary employee should be placed on any assignment for a period longer than six months.

Q. What new hire paperwork do I need to complete for a temporary employee?

A. Because the temporary employee is a VTS employee, your department will not have to complete any new hire paperwork, but you will have to conduct any additional training required for the employee to be successful at their assignments

Q. How can I recommend someone I know for an open temporary position?

A. If you know someone that you believe may be a good fit for Vanderbilt and VTS, please ask them to apply online, and list you as a referral. Also, pass along their information to a VTS representative so they can be made aware that a referral has been made.

Q. What do I do if I have a temporary need outside of Nashville or the State of Tennessee?

A. Call our office and speak to one of our representatives. We can on occasion support temporary employment assignments outside the area, but that would be dependent on the type of work and approvals from VTS leadership and Risk Management.

Q. What is the current VTS service surcharge?

A. There is no surcharge for VTS employees.

Q. Can I use an external vendor for temporary help?

A. Hiring managers must contact VTS for any recruiting needs related to temporary or contract employees who will work at Vanderbilt. VTS is the only authorized entity that can approve temporary or contract employees that work at Vanderbilt and ensure they meet our labor, time and background check requirements. Hiring managers should not contact or receive bids/requests for placements for staffing agencies / external vendors / external recruiting providers without notifying VTS. Any engagement made without VTS's oversight is a violation of Vanderbilt policy.
